  - short process videos
  - FAQ and troubleshooting runbook
  - release notes and change logs
- KT operating model:
  - train-the-trainer
  - quarterly refresh sessions
  - onboarding kit for new HR/ops staff
  - completion and competency tracking

Success indicators:
- faster onboarding time for new internal users
- fewer process errors/rework
- reduced support dependency

## 2) HRMS AI Chatbot (Authorized Intelligence Assistant)
Objective: provide instant, permission-aware answers and summaries from HRMS data and knowledge content.

Target capabilities:
- User details lookup (only if requester is authorized)
- User performance summary views (role-restricted)
- Knowledge answers from training/KT documents
- Summarized reporting:
  - attendance/leave snapshots
  - onboarding pipeline status
  - resignation/clearance status
  - utilization summaries

Security and governance model:
- strict role and permission enforcement before each response
- field-level masking for sensitive data
- audit logs of prompts/responses and data access
- policy-aligned access controls and approval model

Implementation approach:
1. Build knowledge base from SOP/KT docs and policy content (RAG-ready index)
2. Connect chatbot to HRMS APIs/services with permission checks
3. Start with read-only assistant mode
4. Add management dashboards for summarized insights
5. Expand with safe, approved action suggestions

## Recommended Next 90 Days
1. Finalize management sign-off on KT scope and chatbot governance.
2. Publish role-based training curriculum and SOP library.
3. Launch chatbot MVP for read-only Q&A on approved datasets.
4. Measure adoption, resolution speed, and reporting time reduction.

## Latest Platform Update
- Recent releases also added probation tracking/weekly reminder support, HR executive analytics screens, and UI-based exit-department configuration.
- On March 17, 2026, the platform added soft-delete/archive protection for key master data: Client, Department, Designation, Job Status, Project, Region, Resource Status, Resource Type, and Team.
- Historical employee, onboarding, attendance, leave, ticket, and exit records now retain these archived references safely, reducing reporting and audit risk during master cleanup.
